How to search photos of receipts and documents by the text in them

A photo of a receipt or a letter is a picture, so a normal search can't read it. How to find the one that says "warranty", "invoice 4471" or "$289" among hundreds of photos, including a way that keeps them off the cloud.

Photographing paper is the easiest filing system there is: the receipt for the new TV, the parking ticket, the doctor's letter, the warranty card, all in one tap. Finding one again is the hard part. The file is called IMG_2077.jpg, it's somewhere among two thousand photos of everything else, and what you remember is a word that's *in* the picture.

Why a normal search finds nothing

To a computer, a photo of a receipt is a grid of coloured dots. The words "Best Buy" and "$1,299.99" that you can read aren't stored anywhere as text, so file search, Ctrl+F and most document tools see nothing. Text recognition (OCR) is the step that looks at the picture and writes down the words in it. Every method below is really a question of *who* runs that step, and *where*.

Your phone's photo app

On an iPhone, the Photos app recognises text in pictures (Live Text), and its search finds photos by the words in them: search "warranty" and receipts mentioning it show up. Google Photos can search for text in your photos as well, using its own text recognition on photos you back up to it.

  • ✓ Good: already there, nothing to set up, searches the whole gallery.
  • ✗ Misses: only photos, never the PDF from your email or the Word letter, and only the exact word. "What did the TV cost" won't find "$1,299.99". With Google Photos, the photos are on Google's servers.

A cloud drive that reads images

Upload the photos to a cloud drive such as Google Drive or OneDrive, and their search can often find text inside images and scanned PDFs too.

  • ✓ Good: photos and documents in one search.
  • ✗ The cost: everything is uploaded. For medical, tax or legal papers, that's a choice to make deliberately, not by accident. And it's still word matching.

AskFolder: photos and documents together, on your device

  1. Put the photos and documents for one subject in a folder (or just choose them on your phone).
