How to find a Word document by what it says
You remember a sentence, not the file name. How to search inside many Word documents at once on Windows and Mac, and how to find one when you only remember roughly what it said.
You wrote it last spring. It was about the office move, or maybe the budget, and it had a paragraph about parking. The file is called something like "Notes v3 FINAL.docx", and there are two hundred others like it.
๐๏ธ Search the contents, not the names
Both Windows and macOS can look inside Word files, not just at their names.
- ๐ช Windows: open the folder in File Explorer, type in the search box, and if the results are only file names, open the search options and choose File contents. Searching a folder that isn't indexed is slower, but it works.
- ๐ Mac: Spotlight (Cmd+Space) indexes the text of .docx files. In Finder, search and choose to search Contents rather than Name.
- ๐ Word itself: none of the desktop versions search across closed files, but File > Open's search box searches the names and recent files.
These all find the files that contain the exact words you type. Then you open each one and press Ctrl+F to find the place.
๐คท When you don't remember the exact words
This is the usual case:

A search by meaning finds both. In AskFolder:
- Drop the folder into the page. It's read in your browser; nothing is uploaded.
- Ask the way you'd ask a colleague: "what did we decide about parking after the move".
- Read the paragraphs themselves, with the file name, best match first, the matching words highlighted.
- Open or copy one to read it in place, or copy it with its file name.
It reads .docx files along with PDFs, text, Markdown, CSV and web pages in the same folder, so the meeting notes, the PDF of the floor plan and the email you saved as text are all searched together.
โจ Make the next search easier
- ๐ Put the date first in file names you create: "2026-03-14 Office move notes.docx" sorts itself and tells you more than "Notes v3".
- ๐ Keep one folder per project. A search in twenty relevant documents beats a search in your whole drive.
- ๐ฏ Write the decision in the first paragraph. Future you searches for what was decided, not for the discussion.
